Workflow automation

Workflow automation for small businesses

You didn't start your business to spend it copying data between tools. We find the repetitive tasks stealing your hours and build one connected system that handles them.

The reality

None of this is a crisis on its own. Together they are most of a working week.

  • A lead fills in the form. You see it four hours later, and by then they have called someone else.
  • The same customer details get typed into the booking system, the invoice, and the spreadsheet.
  • It's 9pm and you're sending the follow-ups you meant to send at noon.
  • Invoices go out late because chasing them is nobody’s actual job.
  • You have seven tools. None of them talk to each other, so you are the integration.
  • You know the reporting would be useful. Building it has been on the list since March.
What we build

Not a package. A system that fits.

Lead capture and follow-up

New enquiries land in one place and get an immediate response. Follow-up sequences run on their own until someone replies, then hand over to you.

CRM setup and integration

A CRM that reflects how you actually sell, wired to your forms, inbox and calendar so records update themselves rather than waiting on you.

Scheduling and onboarding

Booking, confirmations, reminders and the whole new-client sequence — intake form, welcome email, documents, first appointment — running without manual steps.

Invoicing and payment chasing

Invoices raised from completed work, reminders that escalate on a schedule you set, and a clear view of what is outstanding without opening three tabs.

Cross-tool integration

The connective work between tools that do not natively talk. We build in n8n, Make and Zapier, and write custom where a platform genuinely needs it.

Reporting that updates itself

The numbers you actually check, in one dashboard, current when you open it — instead of a spreadsheet you rebuild each month.

How it works

We don't guess. We diagnose.

  1. Step 1

    Free strategy call

Thirty minutes, no obligation. We map how your business actually runs — the tools, the handoffs, the bits held together by memory — and agree what is worth doing.

  2. Step 2

    Diagnose and plan

We work out what you actually need, which is not always what you came asking for. You get a written scope with a fixed price before anything is built.

  3. Step 3

    Build and integrate

We build it and connect it to what you already use. You stay involved at the decision points without being buried in the detail.

  4. Step 4

    Go live, train, support

We train whoever needs training, watch the first live week closely, and stay reachable afterwards. We do not build and disappear.

What it costs

Automation projects start at £800, which buys a single process properly mapped, built, tested and handed over. From there the price depends on how many processes you are connecting, how many tools have to talk to each other, and how much logic sits inside them — connecting one thing and rebuilding six are not the same job. You get one fixed figure after the free strategy call, before any work starts, and most clients go live in 2–4 weeks. Ongoing support is optional and starts at £199/month.

Straight answers

Questions? We have answers.

Which automation tools do you use?

Mostly n8n, with Make and Zapier where they fit better, and custom code where a platform genuinely needs it. The honest answer is that the tool matters far less than the mapping — we pick whichever keeps your running costs lowest and hands you something you could maintain yourself if you ever wanted to.

Is n8n better than Zapier for a small business?

Usually cheaper at volume, because n8n prices by workflow execution rather than per task, and it self-hosts. Zapier is simpler if you only need a handful of two-step connections and want to own them yourself. If you are running thousands of steps a month, the difference becomes real money. We will tell you which one your situation actually calls for.

How much time will this actually save?

Most clients get back 5–20 hours a week, and the range is that wide because it depends entirely on how much repetitive work you are doing today. We estimate it during the strategy call using your real numbers, not an average, so you can decide whether the maths works before spending anything.

What if I already have tools I like?

Then we keep them. The goal is fewer tools you have to run yourself, not a rebuild for its own sake. Most projects connect what you already pay for and remove two or three things you stopped using — technology should reduce stress, not create it.

Do I need a developer to maintain it afterwards?

No. We hand over documentation and train whoever will be looking after it, and plenty of clients run independently after launch. Optional support from £199/month exists for the ones who would rather not think about it.

One partner

Most clients need a combination.

These are three expressions of the same partnership, not three products. We work out the mix on the call.
